AI employee: a digital worker for your SMB, at a fixed price

In short

An AI employee, or digital worker, is an artificial intelligence agent that handles one repetitive task end to end for your team: following up with clients, preparing quotes, entering invoices. At Zenidata, the first one costs CA$3,500 plus CA$349 a month, delivered in about three weeks and hosted in Canada.

Every SMB has a task nobody enjoys and everybody postpones: calling clients who have not paid, chasing a quote that went unanswered, retyping invoices into the accounting software. It is not hard. It is long, and it always comes after everything else.

That is exactly the work you give a digital worker. It takes no vacation, does not forget on Friday afternoon, and leaves you the final say on everything that matters.

Calling is the shortest path. By form or by email, we reply within 1 business day. The audit takes 30 minutes and commits you to nothing.

What an AI employee actually does

A digital worker is given one specific task, with your rules. It reads what comes in (an email, an invoice, an appointment in the calendar), decides what happens next according to those rules, acts in your tools and keeps a record of everything it did. The tasks we assign most often:

What it does not do

It does not replace your assistant or your bookkeeper. It takes the repetitive part of their week off their hands, and they take over as soon as judgment is needed.

It does not decide alone on anything delicate. A follow-up to an upset client, an unusual accounting entry, a discount: it prepares, a person approves. You set those steps, task by task.

It cannot work magic with closed software. If your software offers no way to connect, we tell you during the discovery call, before selling you anything.

AI employee, chatbot or AI agent: what is the difference?

A chatbot answers questions. An AI agent acts: it fetches information, updates your systems and sends messages. An AI employee is an AI agent assigned to a specific role, with a monthly review, the way you would onboard a new hire. The technology behind it is called agentic AI.

The difference is more than words. Buying an "agent" means buying technology. Hiring a digital worker means handing over an outcome: a given task done, every week, measured.

Example: quote follow-ups at a contractor

Illustrative example, not a client. On Monday, the digital worker finds the quotes sent seven days ago with no reply. It drafts a short follow-up for each, in the company’s tone. The owner sees them in a list, edits one, approves the rest in one click. The follow-ups go out. When a client replies "let’s go", the quote moves to the next stage and the owner is notified. On Friday, the report shows how many follow-ups went out, how many replies came back and how many hours were not spent doing it by hand.

Founding rate: three spots

Our first three "First digital worker" clients pay CA$2,900 and CA$299/month. In return, we measure your situation before we start and you allow us to publish the results: hours recovered, follow-ups sent, turnaround times. That is how we build our case studies, honestly, instead of inventing testimonials.

50% at signing, 50% at go-live. Taxes extra.

Licences for your own software remain yours to pay. The monthly fee covers a normal SMB volume; if yours is unusual, we price it with you before signing, not after.

How it works

  • Discovery call, free, 30 minutes. We look at the task, your tools and the volume. If it is not worth automating, we say so.
  • Automation plan (CA$750, optional). If you are torn between several tasks, we measure and rank them. The amount is credited toward the package.
  • Build, about three weeks. Tested on your real cases, with your team, before go-live.
  • Go-live and follow-up. Every month, a report of tasks done and hours recovered. We adjust what needs adjusting.

Your data and Law 25

A digital worker often handles personal information: names, emails, balances, appointments. We host it in Canada, give it access only to the data it needs, log every action, and hand over the file for your privacy impact assessment at delivery. Our Law 25 guide for SMBs explains what the law requires of you.

Frequently asked questions about AI employees

How much does an AI employee cost for an SMB?

At Zenidata, the first digital worker costs CA$3,500 to set up plus CA$349 a month, before taxes, for one task automated end to end. Two or three linked tasks: CA$7,500 to CA$12,000 plus CA$590 a month. The first three clients pay CA$2,900 and CA$299 a month in exchange for a publishable case study.

Will an AI employee replace one of my staff?

No. It takes the repetitive part of a role, not the role. The time recovered goes back to customer service, sales and files that need judgment. In an SMB where everyone wears three hats, it often avoids hiring for a task nobody wants to do.

What happens if the digital worker makes a mistake?

Sensitive steps go through a person on your team before anything is sent: that is built in from the start. Everything it does is logged, so a mistake can be found and fixed. The monthly review exists precisely to adjust its rules based on real cases.

Do we need to change our software?

No, in most cases. We connect the digital worker to what you already use: calendar, email, accounting software, CRM. Connection is possible as soon as the software offers a connection interface, and we check before you sign.

How long before it works?

About three weeks for the first digital worker, from the moment we have access to your tools. Two or three linked tasks take four to eight weeks.

Are there grants?

Sometimes. Mon succès numérique (Réseau des CCTT) is usually the most accessible program for small businesses. Others, such as ESSOR, require annual revenue of at least CA$2.5M. The automation plan checks your eligibility; our grants guide covers the programs in detail.

What about the phone?

To answer calls and book appointments by phone, our ZeniCall service (zenicall.ca) is built for that, from CA$200 a month. The Zenidata digital worker handles everything that happens before and after the call.

Which task would you give your first digital worker?

Tell us in 30 minutes, free. You leave knowing whether it can be automated, what it costs and how long it takes.
